Logistic notes

1. Date of the conference: 12 – 14 September, 2013

2. Conference venue: Warsaw, Poland – Hotel Sofitel Warsaw Victoria. The Sofitel Warsaw Victoria Hotel is perfectly located in the very heart of Warsaw's Old Town, not far from the Grand Theatre, the Royal Palace and the most fashionable shops in the city.

3. Working languages: English, Russian, Polish

4. Conference registration process: Please complete the on-line registration form.

5. Accomodation: The Secretariat arranges the hotel reservations. Filling in the application form includes the reservation in the Sofitel Warsaw Victoria Hotel. Room types and unit prices are as follows:

Superior Room
Single room – PLN 541,00 (≈120 EUR, including 23 % VAT and breakfast)
Dooble room – PLN 602,00 (≈130 EUR, including 23 % VAT and breakfast)

Luxury Room
Single room - PLN 664,00 (≈145 EUR, including 23 % VAT and breakfast)
Dooble room – PLN 725,00 (≈160 EUR, including 23 % VAT and breakfast)

Junior Suite
Single room - PLN 787,00 (≈170 EUR, including 23 % VAT and breakfast)
Dooble room – PLN 849,00 (≈185 EUR, including 23 % VAT and breakfast)

Prestige Suite
Single room - PLN 1033,00 (≈225 EUR, including 23 % VAT and breakfast)
Dooble room – PLN 1095,00 (≈240 EUR, including 23 % VAT and breakfast)

For your information: 1 EURO is 3,8 PLN on 1 March, 2013.

If you have any special requests concerning rooms or meals, please inform us.
Please note that travel and accommodation expenses should be covered by the participant.

6. Airport-hotel transportation: Transportation will be provided and arranged by the organizers if you sent your arrival and departure data to the ACEEEO Secretariat. Transportation will be provided for arrivals and departures between 12-16 September, 2013. In other cases you should arrange your transfer on your own.

7. Visa: To check if you need a visa to enter Poland, please read the information attached in Annex A and visit the website of the Ministry of Foreign Affairs of Poland.

8. Registration fee for ACEEEO members and for Early Birds until 15 July, 2013 is 290 EURO and includes the conference materials, transfer from airport to the hotel and back, refreshments during breaks, lunches, dinners during conference days, participation at cultural programs.

Registration fee for non-member participants after 16 July, 2013 is 390 EURO and includes the attendance at the ACEEEO conference, conference materials, transfer from airport to the hotel and back, hotel reservation, refreshments during breaks, lunches, dinners during conference days, participation at cultural programs.
Cancellation costs: Your participation is binding after you have received a written confirmation from the conference management. If you wish to withdraw your registration, please inform the conference management at the latest in writing by 1 September, 2013. Participants who cancel after that date are liable to pay 100 EURO.
